Managing email – use self-discipline with self-storage of data

ITaP is migrating email accounts for Exchange users to Exchange 2007, which will offer a new look and new features. Individual users will experience a brief outage window during their migration, but ITaP is offering data-management tips to lessen outage windows and help establish regular upkeep habits for all email users.

Archiving and arranging old items. Making sure to manage attachments. Emptying the “Deleted Items” folder. Over the last several weeks, you’ve learned how each action helps Outlook run more smoothly, frees space on Purdue’s Exchange servers, assists with organizing older material, and can reduce your outage time during the ongoing Exchange 2007 migration.

“Microsoft has definitely tried to keep ‘mailbox hygiene’ in mind for users, and that’s the biggest issue we see when people say, ‘Outlook is slow,’ or, ‘I need a larger quota,’ ” says ITaP Exchange administrator Aaron Sprout.

Now, it’s just a matter of making data management a regular part of your work. You need not clean your kitchen after every meal. But if you wait too long, it’s a task of annoyance rather than accomplishment.

Much as you would prune your “Deleted Items” folder, make sure you regularly archive and delete items from your “Sent Items” folder – another folder where messages quickly can pile up by the hundreds. (Just make sure that after items go to your “Deleted Items” folder that you delete them from the Deleted Items folder.) Also, be sure to keep your “Junk E-Mail” folder clear and perform regular maintenance and clean-up on Calendar items.

ITaP has scheduled a free, interactive brown-bag demonstration of these tips. The Microsoft Outlook and Exchange brown bag will be held from 11:30 a.m. to 1 p.m. Friday, Sept. 4, in Stewart Center, room 310. Register for the demonstration through ITaP’s training Web site.

With these tips, you’ll be well prepared for the Exchange 2007 migration in the coming weeks. Regardless of your email interface, you also have a template to increase organization and productivity through improved data management.
